To create tender packages;

1. Go to Admin
2. Tenders
3. Packages



The layout of this page consists of;

a. a package category filter

b. buttons such as add and save

c. a list of the packages for the selected category

d. a package details section underneath that is split up into several sub sections of information about that package;



As you add the packages and select the package in the list you will be able to edit the details about that package below


To start adding packages;


4. Select the package category you would like to add a package to

5. Now you can add packages to this package category by clicking on the ‘add’ button in the top right corner

6. Enter the package name
7. Select which business units the package is applicable to or All
8. Select the price function override
9. Enter the available date for the package
10. Enter the expiry date for the package - this is also how to remove a package, if you no longer require it enter an expiry date prior to today and it will no longer appear
11. Choose whether the package is customisable or not
12. Choose whether other packages within this category are allowed to be selected or not (an example of where you won’t want this checked on is a ‘facade’, you only want 1 facade to be chosen)
13. Choose whether the package should be visible to sales or not
14. Choose whether the package is applicable to all house types or not (an example where you won’t want this checked on is one of the ‘make it your own’ packages as these aren’t available to all house types)
15. Then if you would like the packages themselves to appear in a specific order within their category you can order them
16. Click save


NOTE: When you click on a package in the list, the information associated with it is displayed in the details section below.

You can change the size of this viewing area by hovering your mouse over the 2 lines and moving them up and down or left and right.

When you are happy with your view you can start entering information in the sections.



As we move through the following sections you will see that all of the available details are not applicable to every package so you will see different examples in each section to get a good idea of how all of the fields can be used and all of the information can be entered.


Details:
Click on the open / close arrow to open the details section
Enter a description
Enter a client description if you would like different information to be shared with the client
Enter specifications if applicable to that package
Enter Addendum information if applicable to that package
Click save if you are finished with your changes



Options Included:

These are the options you want to make available to choose from in the package.
Click on the open / close arrow to open the options section if it’s applicable to the package
Click on the open/close arrow on the option category that is applicable to the package
Check the options that are applicable to the package
Select the master area from the drop down list that is relevant to the option for this package
Enter the quantity that you are including in the price
Choose whether the option can be removed
Choose whether the option can be increased
Choose whether the option can be credited
Enter the value of credit that can be given
Enter the percentage of credit that can be given
Then if you would like the options to appear in a specific order you can order them
Click save


Documents and Images:
Click on the open / close arrow to open the documents and images section if you need to upload files to this package. NOTE: if the images and documents are different per house type then they shouldn’t be uploaded here, there is another section for them
Click on the … button to navigate to the file and select it
Once you have chosen the file click upload
The document or image file will appear in the box below
Click save



Price Functions:
Click on the open / close arrow to open the price functions section if you need to add pricing to this package. NOTE: if the pricing is different per house type then they shouldn’t be added here, there is another section for them
Click on the add button on the far right
Select a price level (if there are different price levels for the package then each new price function will have a different price level)
Enter an effective date
Calc
Calc
Calc
Override
Override sell
Profit margin
Profit amount
Margin amount
Click save



NOTE:  You must add at least one (1) price function to the package even if it's Price Level = 'Default'


Houses:
This is where you add house types to the package instead of selecting the package as applicable to ‘All house types’ in the package list above.

Usually you have to do this if the house types have different documents and images and/or price functions for the package.

Depending on your package settings above you may have already turned on all house types, if so, all types will be included in this section automatically and there is no need to add them individually here.


Click on the open / close arrow to open the houses section
Click on the add button on the far right
Select a house type from the drop down list
Select an option for the documents
Select an option for the pricing mode
Enter an available from date
Enter an expires on date
Click save.



Pricing Modes:

  • Use only Package Level Pricing = 0
  • Use Only House Type Pricing And Make Expired If No Price = 1
  • Use House Pricing First = 2


There are additional document and price function sections under each house type if you want them to be different per house type.


NOTE: You need to save each house type as you add it to the package before you can add documents and images and/or price functions underneath.

Please ensure this is done for each new row added in the houses section.
The Documents and Images section and the Price Functions section are now the same as the above instructions however you just need to ensure you have first clicked on the house type row first before you add the documents and prices to each of them.



Palette:

Depending on your package category settings the Palette's section will either be enabled or disabled.

If enabled, select a category and add a new item.


Click on the open / close arrow to open the palette section
Click on the add button on the far right
Enter a place holder name
Select a category
Select a substitute
Choose whether it’s locked or not
Choose whether it’s the default or not



Options Included Price Display:

The price display column shows the price display that the option is set to by default. You can change it if you need to using the price display dropdown.



Allow Quantity:


Similar to 'Allow Increase' and 'Allow Remove' for options, packages can also be set-up with a quantity. This is enabled at the Package Categories level using the 'Allow Quantity' checkbox.

If Allow Quantity is selected, the increase/remove feature for included options is disabled. The package quantity as a whole can be increased or decreased.
