Contracts


Types Of Contracts

Contract
A raw blank contract icon. It consists of all 5 types of contracts which represent different phases or workflows for a single contract.
Lead Contract
The Lead contract refers to the Sales workflow to help sales people qualify, guide, present proposals and close(sign) the deal. 
Land Contract

The Land contract represents land that the building company owns, has rights or options to sell to their clustomers. 

Presite Contract
The Presite contract involves all Admin work after closing the deal, before construction can commence. This includes; Drafting, Pricing, Ordering, final selections, external / statutory approvals.
Construction Contract

The Construction contract involves building the house phase, with a focus on the coordination of trades, suppliers and deliveries.
Maintenance Contract

The Maintenance contracts refers to the handling of any post construction warranty issues after a customer moves into the house (Example; Customer service, complaints etc.).
Adhoc Contract

The Adhoc contract represents all the adhoc workflows which can be created on the fly. The Adhoc workflows represent separate job types. Different Adhoc workflows can run at the same time.
Project Contract

The Project contract represents a group of contracts( Example; A residential estate, an apartment complex, or a group of town houses. 


Contract Statuses

All contract status icons are displayed as small icons which are attached to each valid contract type on the Master contract.

Active 
If a contract is marked active, it indicates that the contract is currently in progress at that particular phase in the workflow.
Cancelled
If a contract is marked cancelled, this is an indication that at a certain point in the workflow a changed decision had been made (Example; A Lead did not proceed).
Closed
If a contract is marked closed, it is an indication that the contract phase is complete
Finalising 
The finalising contract status applies to different contracts, it has different terminology for each contract type it is displayed in. The finalising contract status is the last status before the maintenance period.
Maintenance

The Maintenance contract status applies to different contracts, it has different terminology for each contract type it is displayed in. 
On Hold 

If a contract is marked on hold , it is an indication that the contract phase has reached a halt. 
Pending

If a contract is marked pending , it is an indication that the contract phase is awaiting confirmation. 
StoppedIf a contract is marked stopped , it is an indication that the contract phase will not proceed further.

Tasks


Task Status


The task status icons outline the current status of each task within each contract type.

Active
An Active status indicates that a task is now active or in progress, therefore the task is being attended to
Unplanned & Pending
An Unplanned & Pending status indicates the task is unplanned and the resource is pending. 
Unplanned & Rejected
An Unplanned & Rejected status indicates the task is unplanned and the resource has been rejected.
Tentative
A tentative task status indicates the task is tentative and the resource is pending.
Available & Pending
An Available & Pending task status indicates the task is available and the resource is pending. 
Planned & Accepted
A Planned & Accepted task status indicates the task is planned and the resource has been accepted.
Planned & Completed
A Planned & Completed task status indicates the task is planned and the resource has been completed.  
Planned & Pending

A Planned & Pending task status indicates the task has been planned and the resource is pending.

From Construction it gets set like this when a callup is E-Mailed.


Planned & RejectedA Planned & Rejected task status indicates the task is planned and the resource has been rejected. 
Planned & Rescheduled
A Planned & Rescheduled task status indicates the task has been planned and the resource has been rescheduled.
Planned & WaitingOnKeyTask

The Planned & WaitingOnKeyTask task status indicates the task is planned and the resource is waiting on a key task. 

This is set when the task is scheduled by using a phone Method.


Started & Accepted
A Started & Accepted task status indicates a task has started and the resource has been accepted.
Started & Waiting
A Started & Waiting task status indicates the task has started and it is waiting for a resource.
Started & Pending
A Started & Pending task status indicates the task has started and the resource is pending.
Started & Rejected
A Started & Rejected task status indicates the task has started and the resource has been rejected. 
Started & Completed

A Started & Completed task status indicates the task has started and the resource is completed.


Completed & Completed
A Completed & Completed task status indicates the task is completed and the resource is completed.

Appointment Note

An Appointment note: A user can create an appointment and add a note to the appointment.

A document note: A user can attach a note to a document

The user can add a note to an email 
Phone Call Note

The user can add a note attached to a phone call that had been made. 
Received Something Note

The user can add a note indicating something has been received
Reminder Note

The user can add a note is added as a reminder
Sent Something Note

The user can add a note indicating something has been sent 
Text Message Note

The user can add note regarding a text message

This icon indicates a purchase order exists  
Active Purchase OrderThis icon indicates the purchase order is in process.
Cancelled Purchase OrderThis icon indicates a purchase order has been cancelled.
Closed Purchase OrderThis icon indicates a purchase order is closed, therefore it is no longer valid.
Finalising Purchase OrderThis icon indicates the purchase order is being finalised.
Maintenance Purchase OrderThis icon indicates a purchase order has been created and further additions have been made due to maintenance. 
OnHold Purchase OrderThis icon indicates a purchase order has been placed on hold.
Pending Purchase OrderThis icon indicates a purchase order is pending. 
Stopped Purchase Order

This icon indicates a purchase order has been stopped.

The staff resource represents an internal person.

The SubContractor resource icon represents a trade.

Sales
The Sales icon is located on the left panel and it redirects the user to the Tenders module.  
Add Variations
The Add Variations button is used to add variations to a Tender. 
Copy To 
The Copy To icon can be used to copy the Tender.
Edit Overview
The Edit Overview icon can be used to Edit information on the Tender in sales edit view.
Estimator Review
The Estimator Review icon can be used to relocate to the Estimator Review navigation panel.
Report
The Report icon runs a report on the Tender and opens up the report that is linked to that specific Tender, in a new tab.
Sales Edit
The Sales Edit icon can be used to relocate to the Sales Edit navigation panel.
Selections
The Selections Icon can be used to relocate to the Tender Selections page.
All Good

The All Good icon is a status icon, when this icon is placed next to an item it indicates everything involved with that item is going well or has been seen to.
Substitution

The substitution icon is used to indicate that the option is a substitution.
Naming
The naming icon is used to indicate where a tender name can be updated.
Circle
The Circle icon displays the initials of the customer, inside the circle. 
Documents
The Document icon is used to indicate where the documents on the tender are stored
Bathroom
The Bathroom icon indicates the total number of bathrooms available for that specific Tender.
Bedroom
The Bedroom icon indicates the total number of bedrooms, for that specific Tender.
Park
The Park icon indicates the total number of vehicle spaces, for that specific Tender.
Size
The Size icon indicates the house size, for that specific Tender.
Storey
The Storey icon indicates the total number of stories , for that specific house type.
For Sale
The for sale icon is used to indicate the sales status of the land
Handover
The Handover icon indicates the date the handover will occur
Location
The Location icon indicates the location of the piece of land.
Circle (O)
The O icon is used to indicate a package category.
Square (O)
The O icon is used to indicate a package primary category.

Square (OP)
The O/P icon is used to indicate an option and package primary category.
Circle (P)

The P icon is used to indicate a package category.
Square (P)

The P icon is used to indicate a package primary category.
Publish

The publish icon will publish information onto a portal or external website.
Reprice
The reprice button is used to reprice a tender or variation.
Selections
The colour palette icon is being used to indicate selections
SpecSales
The spec sales icon is being used to indicate spec sales
Tenders

The shopping trolley icon is being used to indicate wish list



Tender Availability Status

The default availability status indicates, default all OK. 
Expired Approved 
The expired approved availability status indicates, that the item has expired and is no longer approved
Expired
The expired availability status indicates that the item has expired.

Not Available 
The not available availability status indicates, that the item is no longer available.
Substitute Required
The substitute required availability status indicates,  that the item requires a substitute.
Incompatible
The incompatible availability status indicates, that the item is not compatible with the house type of the tender

The Display House icons can be used to indidate that the tender is a DisplayHome
Facade
The Facade icon can be used to indicate a package is a facade
Filter
The Filter icon can be used to filter items according to preference. 
FlexField
The FlexField icon can be used to add additional information. 
Gantt
The Gantt Chart icon can be used to be redirected to the Gantt chart.
HardFile
The HardFile icon can be used to access a pop up displaying the Hard File Tracking History. 
Done
This icon indicates a task issue has been completed.
Issues
The Issues icon indicates open issues.
Reports
The Reports icon provides a display of all reports that can be run from the system.
Task
The Task icon indicates other tasks for a specific job. 
Grid
The Grid icon can be used to change the display of information on the screen, to a grid view. 
List
The List icon can be used to change the display of information on the screen, to a list view.
